1. Information we collect

We collect information you give us when you sign up and use the service:

  • Account data: Email, password (hashed), display name, carrier name, MC number
  • Load and dispatch data: Load board IDs, rates, origin/destination, broker names, BOL uploads and related documents
  • Factoring and payments: Information needed to process settlements and the 2.5% network fee (e.g. factored settlement amounts)
  • Rewards: $CANDLE reward balances and vesting data tied to your account
  • Usage and support: Logs of how you use the service, support messages, and device/browser info when necessary for troubleshooting

2. How we use your data

We use your information to:

  • Provide and operate the AI dispatch service, load tracking, and paperwork tools
  • Calculate and apply the 2.5% network fee and credit $CANDLE rewards to your account
  • Coordinate with factoring partners (e.g. OTR Solutions) so settlements and fee deductions are processed correctly
  • Authenticate you and enforce our Terms of Service
  • Send service-related messages (e.g. load updates, account or security notices)
  • Improve the product, fix bugs, and protect against fraud and abuse

We do not sell your personal information. We do not use your data for advertising or to build profiles for third-party marketing.

3. Sharing with third parties

We may share your information only when necessary, and only as follows:

  • Factoring and payments: With your factoring partner (e.g. OTR Solutions) so they can pay you and deduct our network fee as you have authorized.
  • Load boards and brokers: Data needed for the AI to search and negotiate (e.g. lane, equipment, rate) may be used in communications with load boards and brokers as part of the service.
  • Rewards and redemption: If you redeem $CANDLE through a third party (e.g. UPay), we may share only what’s needed for that redemption, per their and our terms.
  • Legal and safety: When required by law, court order, or to protect rights, safety, or security.

4. Retention and security

We keep your data for as long as your account is active and as needed to provide the service, comply with law, and resolve disputes. After account closure, we may retain certain data for legal, tax, or safety reasons for a limited period.

We use reasonable technical and organizational measures to protect your data (e.g. encryption, access controls, secure hosting). No system is 100% secure; we expect you to keep your password and account details safe.

5. Your choices and rights

You can:

  • Update your account and profile information in your dashboard
  • Request access to or correction of your personal data by contacting us at the email below
  • Request deletion of your account and associated data, subject to our need to retain certain information for legal or operational reasons
  • Opt out of non-essential emails (service-related messages may still be sent)

If you are in a jurisdiction that grants additional rights (e.g. GDPR, CCPA), we will honor them to the extent required by law. Contact us to exercise those rights.

6. Cookies and similar tech

We use session cookies and similar technology to keep you logged in and to run the service. We do not use third-party advertising cookies. You can adjust your browser settings to limit or block cookies; some features may not work if you disable them.

7. Changes and contact

We may update this privacy policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the service after changes means you accept the updated policy.
